2020 CANCELLATION REFUND STATEMENT

IMPORTANT INFORMATION FOR PARTICIPATING TEAMS

16 MARCH 2020 -- Last week on Friday 13th March 2020, we took the difficult decision to cancel the 2020 Tropical 7s event due to the escalating COVID-19 coronavirus pandemic. We are thankful for the outreach of support from the many friends of the tournament over the last few days. Please note the following important information related to the cancellation.

OFFICIAL CANCELLATION ANNOUNCEMENT

As requested by several teams, the Tropical 7s has created a PDF version of the cancellation announcement. The PDF has been posted on the website and is available for download HERE.

FURTHER RESTRICTIONS ANNOUNCED

Since making the decision to cancel the event, USA Rugby suspended all sanctioned competitions and activities for a minimum of 30 days effective 13th March 2020, and the Centre for Disease Control (CDC) in the USA recommended organizers of events or mass gatherings cancel or postpone events that consist of 50 people or more throughout the United States for the next 8 weeks effective 15th March 2020. Additional restrictions continue to be imposed by state and national governments severely restricting the movement of people and disrupting travel.

CANCELLATION vs. POSTPONEMENT

While we did consider the option of postponing this year’s event (as opposed to cancelling outright), we felt unable to do so due to the continuing uncertainty of health restrictions, host venue availability as well as team availability. We are therefore giving priority instead to planning for the Tropical 7s in Easter 2021 – with dates confirmed as 2/3 April 2021.

ACCOMMODATION REFUND POLICY

We have confirmed the refund policies for our accommodation partners. Note below the following information regarding cancellation of existing reservations.

  • OMNI HOTEL – All existing reservations at the Omni remain active and are available to still be used if you so choose (unless the hotel is possibly forced to close). The Omni will give 100% refund of all deposits and reservations related to the Tropical 7s. However, you must make direct contact as soon as possible with the Omni in order to process your refunds. The Omni should also be sending an email to the contacts listed on the reservations with further information. In the meantime, you can send an email or call them directly (+1.800-843-6664, or +1.407-390-6664).
  • TUSCANA & FOUNTAINS -- All existing reservations at the Tuscana & Fountains properties (both managed by Aqua Aston Resorts) remain active and are available to still be used if you so choose (unless the resort is possibly forced to close). Aqua Aston will be giving 100% refund of all deposits and reservations related to the Tropical 7s. However, you must make direct contact in order to process your refunds 14 days before you reservation is to begin.

TEAM SERVICES REFUND POLICY

All "Team Services" ordered via the Tropical 7s E-Store will be refunded 100% within 30 days using the original payment method that was used to purchase these team services. Paid for team services include team tent rental, airport transfers, pre-purchased food orders and any tourism tickets purchased directly from the E-Store (e.g. Kennedy Space Center). Any items purchased from KGS Tickets should be followed up directly with KGS (+1.321-939-2057, or tim@kgstickets.com).

MERCHANDISE REFUND POLICY

All pre-ordered Merchandise purchased via the Tropical 7s E-Store will be refunded 100% within 30 days using the original payment method that was used to purchase these team services.

REGISTRATION REFUND POLICY

The Tropical 7s has decided to modify the registration fee refund policy in light of the unique situation presented by this year’s event (note our existing policy that each team accepted at the time of registration is HERE). Given the unprecedented circumstances surrounding the cancellation of the event and in the spirit of goodwill, we wish to offer teams the following options:

  • OPTION A – TRANSFER OF REGISTRATION TO 2021 TROPICAL 7s:
    Teams may transfer their team(s) registration directly to the 2021 Tropical 7s -- confirmed to take place on 2/3 April 2021-- with any advertised increase in the registration fee for the 2021 Tropical 7s to be waived. The transferred registration will automatically be made to the division that the team originally registered, but may be applied to a different division if agreed with the Tournament Director and is subject to availability in the preferred division at the time of the request (no later than 31st December 2020). If the team withdraws their team registration after this date, they will be subject to the cancellation charge as detailed in our terms and conditions (50% partial refund if team withdraws between 31st December 2020 and 28th February 2021, no refund after 28th February 2021).
    • U20 Divisions -- We have received feedback from teams expressing disappointment from many of their players of not having the opportunity to play Tropical 7s, as they would no longer meet the age cut-off requirements. We have taken this feedback on board and are considering offering U20 divisions for both men and women in 2021 subject to demand. Please notify the Tropical 7s staff if you this option may be of interest to you.
  • OPTION B – FULL REFUND:
    Any 2020 registered team has the option of receiving a full refund of the registration. Refunds will be processed within 30 days of notification.
  • OPTION C – PARTIAL REFUND:
    Some teams have expressed interest in receiving a partial refund in order to help support the Tropical 7s having absorbed operational and administrative losses in the preparation of this year’s event. We have therefore created a “Solidarity Refund” option, simply meaning that teams can choose an amount to apply towards costs associated with cancelling this year’s event. While we recommend a simple fee of $75, teams are free to choice an amount at their discretion. Refunds will be processed within 30 days of notification. Teams are asked to confirm their choice of their desired option no later than 30th April 2020. If we have not received notification of the team’s decision by this date, the Tropical 7s will issue a full refund of the tournament registration fee within 30 days of this date. Every team should email directly to the Tropical 7s (info@tropical7s.com) regarding their choice of registration transfer/refund. Please allow up to 30 days for all refunds to be processed.

We would like to thank again for all of the support we have received over these last days from participating teams,  our partners and stakeholders, and the wider rugby community. While this has been a difficult period for the Tropical 7s, we understand it has been extremely challenging for all those involved with our tournament. You have helped make the Tropical 7s into what it is today. We look forward to continuing to improve and grow our event well into the future. We are confident our decision to cancel this year’s tournament was correct and our thoughts remain  with all those who are being directly or indirectly affected by the current situation.
